Productivity can be boiled down to the formula of output over input: it’s essentially about how much you accomplish relative to the time and effort you invest. For instance, if you complete a task in three hours that should typically take six, you are technically more productive. However, this perspective feels more applicable to a factory setting than to individual productivity.
I prefer to frame productivity in this manner:
Productivity = Focus x Energy x Time
To achieve productivity, three core elements are essential: focus, energy, and time. If you possess focus and time but lack energy, you may find yourself too fatigued to engage in your tasks. Conversely, having ample energy and time without focus can lead to distractions, causing you to flit from one task to another without completing any. And if you have both energy and focus but insufficient time, productivity becomes unattainable. Thus, productivity hinges on these three components.
This understanding enables you to identify why you might be struggling with productivity at any given moment. Simply ask yourself, “Am I feeling lethargic, distracted, or rushed?” The answer will guide you in determining whether you need to enhance your energy, focus, or time management.
A Small Caveat
Consider gamers: they possess focus, energy, and plenty of time. Yet, would we label their activities as productive? Not necessarily. This leads to an important addition to our definition:
Productivity = Focus x Energy x Time (aimed at a meaningful goal). It’s vital that your efforts are directed towards achieving something worthwhile rather than engaging in aimless activities.
In a more comprehensive sense, productivity involves making consistent smart choices regarding your energy, focus, and time to maximize your potential and yield beneficial outcomes.
What Productivity Is Not
Understanding what productivity isn’t can help clarify its true nature. Here are four common misconceptions:
Productivity is NOT synonymous with being busy.
You can fill your day with tasks and still fail to be productive. Engaging in mindless activities like unnecessary meetings and endless email chains can waste your energy and focus without contributing to your goals. In fact, a truly productive individual often appears less busy and more composed.
Productivity is NOT a sudden event.
It’s a common joke that one doesn’t simply wake up and declare, “Today, I am productive!” Productivity is a gradual process that requires time and involves making thoughtful daily choices until productive habits are established, ultimately becoming a way of life.
Productivity is NOT dull.
Many believe that productivity means giving up leisure activities like watching TV, social media, or enjoying time with friends. This is a misconception. Being productive involves knowing when to relax and enjoy yourself, as well as when to buckle down and work.
You can’t be productive all the time.
A significant challenge for many is maintaining a steady level of productivity. It’s common to experience bursts of productivity followed by periods of lethargy. Feeling discouraged during these phases is natural; however, remember that even machines require downtime to function effectively.
